This Refund Policy applies to all conference registrations and services purchased through Momentera Scientific Event Management Pvt Ltd. Please read this policy carefully before completing your registration.
1. Cancellation by Participant
We understand that circumstances may change. The following cancellation terms apply:
- More than 60 days before the conference: Full refund minus a 10% administrative processing fee.
- 30 to 60 days before the conference: 50% refund of the registration fee.
- Less than 30 days before the conference: No refund will be issued. However, you may transfer your registration to another eligible participant.
- No-show (failure to attend): No refund will be issued.
2. Registration Transfer
You may transfer your registration to another person at no additional cost, provided:
- The transfer request is submitted in writing at least 7 days before the conference.
- The substitute participant meets all eligibility criteria.
- Both parties agree in writing to the transfer.

3. Cancellation by MomentEra
In the rare event that we are required to cancel or postpone a conference due to unforeseen circumstances (force majeure, natural disasters, health emergencies, venue unavailability, etc.):
- We will notify all registered participants as soon as possible.
- Participants may choose to transfer their registration to a rescheduled or alternative conference.
- Full refunds will be processed within 30 working days if the event is cancelled outright.
- We are not liable for travel, accommodation, or other costs incurred by participants.
4. Virtual/Online Registration
For virtual attendance registrations:
- Cancellations more than 14 days before the event: Full refund minus 10% processing fee.
- Cancellations within 14 days: No refund. Access credentials will be provided as per schedule.
5. Abstract Submission Fees
Abstract submission fees, where applicable, are non-refundable once the review process has begun, regardless of the outcome of the review.
6. Refund Process
To request a refund:
- Email contact@momentera.org with your registration ID and reason for cancellation.
- Approved refunds will be processed to the original payment method within 7–14 working days.
- Stripe/payment gateway fees are non-refundable.
